Organizational Description

The Oprah Winfrey Leadership Academy for Girls (The Academy) is a world-class educational platform for girls which is aimed at nurturing a new generation of dynamic women leaders. This residential boarding school is situated in Meyerton, Gauteng Province with just over 300 students enrolled in Grades 8 -12. Grade 12. Students write the Independent Examination Board (I.E.B.) NSC Examination.

Job Purpose

To provide a stock management service to the Academy’s Boarding department, in line with the Academy’s standards to ensure that the overall appearance of the students reflect the professional image of the Academy. To provide an excellent stock management service to the Academy by administering and controlling the ordering, receiving, recording and distribution of student uniform stock.

Minimum academic requirements & experience

  • Matric with a Diploma in Stock Control or a relevant qualification;
  • Minimum of 2 years working experience in a similar job;
  • Experience in a learning environment and in a boarding house will be an added advantage.

Knowledge, Skills and Attitude

  • Contribute to the Boarding operational strategy to ensure a high quality uniform service is provided in line with the Academy’s student professional image standards.
  • Contribute to the stock demand forecast by identifying and evaluating stock levels.
  • Co-ordinate the uniform and store stock purchasing process in line with agreed budget and cost effective standards.
  • Ensure an effective supplier management process, in line with Procurement procedures and guidelines.
  • Adhere to financial processes of invoicing and purchase orders.
  • Build relationships with suppliers and negotiate best pricing options, directing the Academy to suppliers with best offerings in terms of quality and pricing.
  • Ensure an efficient and timely delivery service of stock.
  • Verify purchase orders and goods received and ensure reconciliation of returned stock is reflected accurately.
  • Verify all invoices submitted, sign and submit to the finance department.
  • Monitor deliveries and flag inefficiencies with line management and manage accordingly with the supplier.
  • Track and report on inefficiencies in order to improve on service delivery.
  • Develop and share ideas to increase efficiency and reduce operational costs.
  • Ensure effective and efficient stock management processes are developed and maintained according to relevant procedures and guidelines.
  • Oversee and administer the ordering, receiving and sewing of students clothing and uniforms according to set standards.
  • Oversee and administer the ordering, receiving of onsite store stock according to set standards.
  • Manage and maintain the storeroom (unpacking stock, allocation, presentation and shelf ticking).
  • Adhere to the correct Uniform and on-site store, stock issuing protocol to ensure consistency.
  • Maintain stock levels within “safe stock parameters to avoid “out of stock” situations.
  • Co-ordinate quality control measures to ensure accurate delivery of stock and liaise with supplier on return items and ensure appropriate adjustments to order.
